The short version
The emails you forward are processed automatically to build your weekly digest. They are never shared, never sold, and you can delete everything we hold whenever you like.
What we collect
Your account: the email address you sign up with, so we can send your sign-in link and your digests. There is no password to store. If you tell us your name, the country you pay from and the language you read in, we keep those too, so your emails arrive addressed properly, priced in your own currency and written in your own language.
The school emails you choose to forward to your personal TermTime address. You decide what to send; nothing is ever taken from your inbox automatically.
Your family: each child's first name, their school, and their age if you give it, so your digest can be sorted per child.
A second parent, if you invite one: their name and email address, so we can send the invitation and, once they've accepted, their own copy of your summaries.
Payments: handled entirely by our payment provider, Polar. We never see or store your card details.
How your emails are used
Forwarded emails are processed automatically to extract the dates, events, deadlines and payment requests that go into your Sunday digest, your heads-up alerts and your calendar entries, and nothing else. This uses an automated AI service (currently Anthropic's Claude) to read and structure each email. No human reads your emails as part of normal operation, their content is never used for advertising or sold, and it is not used to train AI models.
If you read TermTime in Portuguese, the same service also renders what it finds in Portuguese. The school's own wording is kept alongside the translation, so you can always quote it back to them exactly as they wrote it.
Children's data
So your digest can be organised per child, you can add each child's first name, their school, and optionally their age. The school emails you forward may also mention pupils. That information is used solely to build and organise your digest, as described above, and never for anything else.
Your calendar link
On TermTime Plus you can subscribe your phone's calendar to your dates. That link is unguessable rather than password-protected, which means anyone who has it can see your family's dates, so treat it like a password. You can replace it from your settings at any time, and the old one stops working the moment you do.
Referrals
If you share your referral link, we record when someone joins or subscribes through it, so we can credit the free months you've earned. That is the only thing the link tracks.
Cookies, and what's kept on your device
No advertising cookies, no tracking pixels, no third-party analytics. Nothing here follows you around the internet.
What we do keep on your device is the short list the site can't work without: which language you chose, the fact that you answered the cookie notice, and your sign-in, held in your browser's own storage so you don't have to sign in again every visit.
Who else handles your data
Running TermTime means trusting a few companies with parts of it: Supabase stores the database, Vercel hosts the site, Resend delivers the email, Polar takes the payments as merchant of record, and Anthropic's Claude reads the emails you forward. Each one only ever receives what it needs for its own part, and none of them may use it for anything else.
How long we keep it
For as long as your account is open. You can delete any forwarded email, and the dates that came out of it, from your dashboard whenever you like, and asking us to close your account removes the lot.
Deletion
You can ask for everything we hold about you (your account, the emails you forwarded, and the dates we took out of them) to be deleted at any time. Email [email protected] from the address you signed up with and we'll confirm once it's done.
